Practical AI help for individual REALTOR®s

Keep client promises visible. Make follow-up easier to act on.

After 22 years as a Victoria REALTOR®, I help individual agents find where client information and follow-up are slipping, decide what is worth changing, and use AI where it genuinely helps. Start with the free Workflow Check. When you need help deciding what to automate, the Desk-to-Done AI Assessment gives you a written plan you own. Digital Employee Implementation and ongoing support are optional.

Does this sound familiar?

You’re busy, not behind.

ChatGPT, occasionally

You use AI sometimes, but it isn’t part of any repeatable workflow in your business.

Follow-up lives in your head

Client promises and next steps sit in memory, your inbox and scattered notes.

Too many tools, no verdict

You’ve heard of dozens of AI tools and have no idea which three are worth your time.

Copy-paste tax

Moving information between email, your CRM and AI creates more work than it saves.

The Desk-to-Done Method

From repetitive tasks to reliable digital employees.

Every job I take on follows the same five steps, one task at a time. You stay in charge the whole way.

01

Spot

Find the repetitive tasks eating your week, like follow-ups, inbox, listing prep and scheduling. Pick the one that costs you the most time or money.

02

Map

Write down how you do it today, step by step, and what “done” looks like, so the AI works your way. This is where my 22 years as a REALTOR® come in.

03

Build

Set up a digital employee to do that job in your voice, with your rules and your tools.

04

Check

It drafts, you approve each message. Nothing goes out without your OK, however long it has been working well. This is what makes it reliable.

05

Done

It does its job on schedule, with monthly tune-ups, and still waits for your OK. Automatic sending is never switched on because it has worked well. It is a separate, explicit opt-in with clear limits, and you can switch it off at any time. Then it’s back to Spot for the next task.

The free REALTOR® Desk sessions teach Spot and Map. The Desk-to-Done AI Assessment covers Spot and Map for you. Digital Employee Implementation covers Build, Check and Done.

Already know which job you want off your desk? Most individual REALTOR®s start here: the fit call can lead straight to a predefined REALClarity Pro package, with no assessment needed. The assessment is for when the job is not clear yet, the workflow is unusual, or several people share the work.

Free REALTOR® Workflow Check

Find the first job AI can help with.

Get your Workflow Reliability Score in five minutes. Answer 12 questions about leads, client promises, showing notes, email, and daily priorities. You will see your strongest pressure area and four category scores. This is a directional self-check, not the paid assessment.

The Desk-to-Done AI Assessment · $1,000 CAD plus GST

Before you hire a digital employee, find out what it should do.

We’ll look at how work actually gets done in your business, identify where time and opportunities are being lost, and determine which jobs are worth handing to AI. I’m an independent adviser, not a software seller, so the plan starts with how you work, not with a product to sell you.

Optional next step: Build, Check and Done

Digital Employee Implementation

I set up, test and hand over the digital employee your plan recommends, in your own accounts.

  • One agreed job and workflow
  • It drafts, you approve each message
  • Your accounts, documented handoff
Scoped and quoted after an assessment

Go straight to a predefined setup

If you already know exactly which job you want handed off, the assessment is not required. We confirm it on the fit call and go straight to setup.

  • Confirm the job on a free 20-minute call
  • Skip straight to Build, Check and Done
  • Same rule: you approve each draft

Why $1,000 when a REALClarity Pro Bronze setup is $995? Bronze installs predefined workflows on one desk. The assessment is advice across your whole business, not a package: a discovery interview, analysis of how your work actually flows, three to five prioritized opportunities, a written plan and a findings call. It’s a plan you own, whether you go on to implementation or not. Digital Employee Implementation and AI Concierge guidance are optional, scoped and quoted separately.

Common first digital employees

The right first job, handed off.

You don’t need six new tools. You need the right first job handed to a digital employee.

Follow-Up & Promise Capture

Commitments from showings and calls become visible next actions instead of memories.

Best if follow-up slips when you get busy

Inbox & Reply Workflow

See the original email, get a useful draft, edit and send. You stay in control.

Best if email eats your evenings

Past-Client Reconnection

A personal follow-up rhythm using real relationship context, not generic drip campaigns.

Best for repeat and referral business

Daily Priorities

Start the day knowing which clients, promises and conversations need attention first.

Best if the urgent always beats the important

Other jobs that often come out of the assessment include searchable showing notes and life-transition protocols for estates and relocations.

Built from both sides of the problem

Real estate experience. Systems experience. No software agenda.

I spent 22 years as a Victoria REALTOR®. Before that I worked in business computing, including co-founding Shepard Computer Systems in the late 1980s. I know the difference between a process that looks good in a diagram and one that survives a busy day, an emotional client and a ringing phone.

I retired my real estate licence in May 2026 to focus on helping REALTOR®s and owner-led teams strengthen the operational layer around their client relationships.

The goal is not more AI. The goal is fewer missed promises, cleaner handoffs and stronger client relationships.

AI Professor and REALClarity

REALClarity: configured workflows for REALTOR®s.

One way to deliver a digital employee. Not a stage you have to reach first.

AI Professor is where the advice, the training and the Desk-to-Done AI Assessment live. REALClarity is a set of predefined workflows for REALTOR®s, such as morning email triage, client meeting follow-up and showing recaps, set up in your own accounts. Go straight to one from the fit call, or use one to deliver what your assessment recommends. I’m an independent adviser, not a software seller, so you are never automatically sold one. AI Concierge: keep making useful progress.

A regular working conversation about what to improve, what to keep and what to leave alone. Not another software subscription.

01

Choose the next move

Bring a recurring task or a tool you are considering. We weigh the benefit, effort and risk against how you actually work.

02

Learn in your own account

Work through a practical task together, with your tools and your data controls. You keep the accounts, the notes and the ability to run the workflow.

03

Review what changed

Check whether the change is being used and helping. Keep it, adjust it or stop it before adding more.

Implementation and Concierge are separate, optional engagements. We agree the fee, meeting schedule, between-call help and response times before you commit. Unlimited troubleshooting, emergency support and custom development are not included.

Discuss the right next step on a fit call

Clear boundaries

Human judgment stays in charge.

The assessment identifies where technology can reduce friction without handing sensitive client work to a black box.

We work on

  • Client promises and follow-up
  • Email overload and stalled threads
  • Past-client relationship systems
  • Approved tools with clear human review

We do not do

  • MLS or Matrix automation and scraping
  • CRM replacement by default
  • AI decisions on local market strategy
  • Replacing REALTOR® relationships with bots

Twenty minutes to see whether the assessment or a predefined setup fits how you work. If neither does, I’ll say so.
