The Desk-to-Done Method

From repetitive tasks to reliable digital employees.

The Desk-to-Done Method is how I turn the jobs that pile up on a REALTOR®’s desk into digital employees you can trust: one task at a time, built your way, and checked by you before anything goes out.

The journey

From a free session to a working digital employee.

I’m an independent adviser, not a software seller. Each stage is a clear decision point, and you only move on when the next step makes sense for your business.

The assessment covers Spot and Map. Digital Employee Implementation covers Build, Check and Done. Not sure what a digital employee does? See Your First Digital Employee.

Already know exactly what you want? The assessment is not required. The fit call can lead straight to a predefined setup: Your First Digital Employee, or one of the predefined REALClarity Pro packages.

Five steps

Spot. Map. Build. Check. Done.

Every digital employee goes through the same five steps. Then the loop starts again with the next task.

01

Spot

Find the repetitive tasks eating your week: follow-ups, inbox, listing prep, scheduling. Pick the one that costs you the most time or money.

Start with one job, not ten tools.

02

Map

Write down how you do it today, step by step, and what “done” looks like, so the AI works your way.

This is where the know-how from my 22 years as a REALTOR® goes in.

03

Build

Set up the digital employee to do that job in your voice, with your rules and your tools.

Your accounts, your wording, your standards.

04

Check

It drafts and you approve. Nothing goes out without your OK until it has earned your trust.

This is what makes it reliable.

05

Done

It runs on its own, with monthly tune-ups. Then it’s back to Spot for the next task.

One reliable digital employee at a time.

Done is not the end. Once one task runs reliably, we go back to Spot and pick the next one.

What the assessment includes

Mark Shepard

Why Map matters. I spent 22 years as a REALTOR® in Victoria before retiring my licence in May 2026. That’s what goes into the Map step: knowing what a good showing recap, lead reply or past-client check-in looks like on a real desk, so your digital employee works the way you do. More about Mark
