1. Who we are
AI Professor is operated by Mark Shepard in Victoria, British Columbia, Canada. Questions about this policy can be sent to privacy@aiprof.ca.
2. Information we may collect
Depending on how you interact with us, we may collect:
- contact information such as your name, email address, telephone number and organization;
- information you provide when requesting a meeting or describing an operational problem;
- business workflow information supplied during an assessment or implementation engagement;
- billing and transaction records when paid services are provided; and
- basic website and server information such as IP address, browser type, requested pages and timestamps.
Please do not submit sensitive client information through the public website, ordinary email or a scheduling form unless an approved process has been established for the engagement.
3. How we use information
We use information to respond to inquiries, schedule meetings, scope and deliver agreed services, maintain business records, protect our systems, improve our services and meet legal obligations. We do not sell personal information.
4. AI-assisted work and client information
AI Professor may use AI-assisted tools in approved professional work. The applicable statement of work, pilot agreement or implementation plan should identify what information may be used, which tools are approved and where human review is required. AI tools are not authorized to make legal, financial, agency or other professional decisions for a client.
5. Service providers and processing
We may use service providers for scheduling, email, website hosting, cloud storage, payments and approved AI or workflow tools. These providers process information under their own terms and may store information outside British Columbia or Canada. We select and configure providers based on the needs and approved controls of the engagement.
6. Cookies and external services
This website does not currently use advertising trackers. Standard hosting logs may be created when pages are requested. Google Fonts may receive basic technical information when fonts load. If you follow a link to Calendly or another third-party service, that service may use cookies and collect information under its own privacy policy.
7. Disclosure
We may disclose information to service providers supporting an approved purpose, when you direct or consent to the disclosure, to protect rights or systems, or when required by law. We do not disclose client information to unrelated parties for their own marketing.
8. Retention and security
We retain information only as long as reasonably needed for the purpose collected, contractual record keeping, dispute resolution and legal obligations. We use administrative, technical and physical safeguards appropriate to the information and the engagement. No system is completely secure, so sensitive workflows require explicit controls and human oversight.
9. Access and correction
Subject to applicable law, you may request access to or correction of your personal information, or ask questions about its use and retention. Contact privacy@aiprof.ca. We may need to verify your identity before responding.
10. REALClarity pilots
REALClarity is a pilot-stage implementation option. Participation is by invitation or separate agreement. Pilot-specific information practices, storage, access, retention and controls should be documented before client information is introduced.
11. Changes
We may update this policy as the website, services or legal requirements change. The date above identifies the current version.
